Liberty Digital offers libraries the ability to streamline resource creation through AI Integration, utilising OpenAI’s Generative Pre-trained Transformer (GPT) models. This integration enables librarians to upload digital files and images, and quickly retrieve relevant cataloguing information.
While A.I. can be a useful tool, there are several considerations to be aware of before enabling this integration for your library. Please read the information below, and consider if A.I. is right for you.
GPT is a third party service provided and operated by OpenAI. Using this service is subject to the OpenAI Terms of Service and these terms are not directly controlled by Softlink Information Centres. OpenAI specifies its Terms of Service at: https://openai.com/policies/terms-of-use/.

OpenAI is constantly developing and improving their GPT models. While artificial intelligence and machine learning are rapidly improving fields of study, this is still an emerging technology and can provide inconsistent results. OpenAI GPT models are trained using data from different places including public sources, licensed third-party data and information generated by human reviewers. Softlink uses a standard GPT model that has not received additional training specifically for libraries.
In many situations, these outputs may not accurately reflect real people, places, or facts. You should not rely on the generated output as the sole source of truth or information. For this reason, Liberty Digital will never apply A.I. based changes to your data without giving a human the opportunity to review any generated content.
Additionally, due to the high global demand for OpenAI’s models, this service may be periodically unavailable without notice to either Softlink or the library.
Files used in the Liberty AI Integration will be uploaded to OpenAI to use the GPT models.
These files are hosted on servers hosted by OpenAI (a third party), which may be outside your region. This may mean that data handling laws apply, such as GDPR which requires that you do not transfer people’s personal data outside their region.
OpenAI has stated that content provided via business and enterprise offerings will not be used to improve model performance. To help identify abuse or misuse, data may be retained by OpenAI for up to 30 days (unless otherwise required by law).
Liberty will automatically send a request to delete files on OpenAI when processing has completed. However, this does not guarantee that the information has not been removed, or that it will not be used for training purposes.
Softlink recommends that you do not upload files containing people’s personal information, or other confidential or sensitive files.
Use of the AI Integration is subject to usage limits. Liberty Digital includes a usage limit that is expected to be sufficient for most libraries. However, libraries with exceptionally high usage may have their usage capped pending purchase of additional credit.
